2. Information we collect
Depending on how you use the website, we may collect information such as your name, email address, billing and delivery details, account information, order history and messages you send to us.
Payment card details are handled by our payment provider, Stripe. We do not intentionally store your complete payment card details on our website.
3. How we use your information
We use personal information, including your name, email address, phone number and delivery address, where necessary to process and fulfil orders, provide customer support, manage customer accounts, communicate with you about transactions, maintain website security and meet legal or accounting obligations. Checkout details are saved to an account only when you choose that option.
Where you choose to subscribe to marketing communications, we may use your email address to send relevant Mana & Minis news and offers. You can unsubscribe from marketing communications at any time.
4. Lawful bases
Depending on the circumstances, we process personal information because it is necessary to perform a contract with you, to comply with a legal obligation, because we have a legitimate interest in operating and protecting our business, or because you have given consent where consent is required.
5. Who we share information with
We share only information reasonably necessary for the relevant service. Current service categories include IONOS for hosting and email infrastructure, Stripe for payment and checkout processing, delivery couriers for fulfilment, and Google Places when you choose an address suggestion. Text entered into an address-search field may be sent to Google to return suggestions; manual address entry remains available.
6. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. Transaction and accounting records are normally retained for up to six years where required for legal, tax and accounting purposes. Account information is retained while the account remains active and for a reasonable period afterwards; support messages and security logs are retained only as long as needed to handle the enquiry, protect the service and meet legal obligations.
7. Cookies and website technologies
We currently use essential first-party session storage needed to keep the basket, sign customers and administrators in, protect forms against forgery and support checkout. These functions cannot operate reliably without that storage. We do not currently use advertising or behavioural-analytics cookies.
The essential session cookie is named mana_minis_session. It contains a random session identifier rather than your payment details and expires when the browser session ends; inactive server-side sessions are rotated after approximately two hours.
If we introduce non-essential analytics, advertising or similar technologies, we will explain them and obtain consent where required before using them.
8. Your rights
Depending on the circumstances and applicable law, you may have rights including access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing and data portability. You may also withdraw consent where processing relies on consent.

9. Keeping information secure
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. No internet service can be guaranteed to be completely secure.

If you have concerns about how we handle your personal information, please contact us first so we can try to resolve the issue. You also have the right to complain to the UK data protection regulator, the Information Commissioner's Office (ICO), where applicable.
This policy is written for the current Mana & Minis website setup and should be reviewed whenever the business adds new services, analytics, advertising, mailing systems or other third-party processors.
